Free tutor pay and margin calculator + pay-run checklist

What does one session actually leave you? Find out in 60 seconds.

Tutor pay and session margin calculator

One session, then the month. Fixed costs are yours to name; there is no benchmark for what to pay a tutor on this page.

What the family pays for one session, before tax.

Their rate for the session length, before your payroll costs.

Employer contributions, or 0 for contractors.

Leave 0 if families pay by e-transfer or cash.

No-shows you pay for and do not charge for. The no-show calculator gives you this.

Rent, software, insurance, admin pay: what you owe whether or not a session happens.

Your own scenario. Slide it to see what a different price does to the month.

With the example numbers. Change any of them to see yours.

Every figure comes from what you typed. Break-even is your fixed costs divided by what one billed session contributes; the price scenario is yours and changes nothing about demand.

    What changes with Pillar

Sixty seconds of the real product, no slides.

    • Each tutor’s pay is built from the sessions they actually taught: hours, rate and session count on one line you read before it goes out.

    • Pay rates live on the tutor, and a program section can carry its own, so the same tutor can be paid differently for different work without a second spreadsheet.

    • The payroll export and the T4A export come straight off the tutors page, with the same paid sessions and hours the analytics Team tab shows.

Built by Steven Kallini, thirteen years a principal process engineer, and Nelly Kallini, a high-school teacher who tutored for years.

Questions owners ask before they try it

Can Pillar tell me my margin per tutor?

It shows each tutor’s paid sessions and hours next to what they taught, and the payroll export carries those numbers. Revenue and margin per tutor are deliberately not estimated for you, because an estimate is not a number. This calculator does that arithmetic on the figures you type.

How much does Pillar OS cost?

A flat monthly fee set by your active student count: from $35 a month for up to 50 students, rising along a line to $599 at 1,000 students (CAD). No per-tutor fee, no per-lesson fee, no percentage of your revenue. SMS, storage and AI usage are billed separately at cost.

We run on Teachworks, TutorBird or a spreadsheet. How do we move?

Send us your export or your spreadsheets. We move students, families and tutors across and walk the result through with you before you go live. Past lessons and invoices stay in your old system’s export. You can also import a roster yourself from a CSV.

    Does it work in French?

Yes. The whole product runs in English or French, for your team and for every family: the portal, invoices, reminders and reports. GST and QST are calculated on the invoice.

Do I need a card to try it?

No. A trial runs 14 days with no card. Start it below: your workspace opens in a minute, you bring your roster and see your own numbers, not sample data.

What about students’ data and Law 25?

Each centre’s data is isolated from every other centre’s, families see only their own students, and the consent a family gives for messages is recorded. Our privacy policy covers PIPEDA and Québec’s Law 25.
