These Terms of Service (“Terms”) govern your access to and use of Pillar OS, a software-as-a-service platform provided by Kalbot Solutions (“Kalbot Solutions,” “we,” “us,” or “our”), and the pillaros.ca website. By creating an account, subscribing, or using Pillar OS, you agree to these Terms. If you are entering into these Terms on behalf of a business, you confirm that you have authority to bind it.
1. The service
Pillar OS is a platform that helps tutoring businesses run their operations — including scheduling and booking, billing and payments, a parent and student portal, tutor management, AI-assisted progress reports, community and messaging, and integrations with third-party services. We may add, change, or remove features over time.
2. Eligibility and accounts
Pillar OS is intended for business use by people who can form a binding contract. You agree to provide accurate account information and to keep it current, to keep your login credentials confidential, and to be responsible for all activity under your account. You are responsible for the users you invite and for their use of the service.
3. Subscriptions, fees, and billing
Access to Pillar OS is sold on a subscription basis at the plans and prices presented to you. Unless stated otherwise:
- Fees are stated and billed in Canadian dollars (CAD).
- Plans include a flat monthly platform fee determined by the number of active students in your workspace, plus metered usage charges for services such as text messages, AI generation, storage and data transfer.
- Applicable taxes (such as GST and QST) are additional.
- Subscriptions renew automatically each billing period until cancelled.
- You can cancel at any time, effective at the end of the current billing period. Fees already paid are non-refundable except where required by law.
- We may change pricing or plan features; we will give reasonable notice, and changes take effect at your next billing period.
Usage Fees.
The base subscription includes 5 GB of storage and 15 GB of transfer per month. The fees below apply only when these included amounts are exceeded, or for specific features (text messaging, AI reports). A detailed statement is provided with each monthly invoice.

All amounts are in CAD and shown as approximate; they are subject to change based on third-party provider pricing. Kalbot Solutions will notify you in writing of any rate changes.
4. Payment processing
Payments are handled by third-party payment processors, including through GoHighLevel. By providing a payment method, you authorize us and our processors to charge the applicable fees and taxes. You are responsible for keeping a valid payment method on file. If a payment fails, we may suspend or terminate access.
5. Your data and content
As between you and us, you own the data and content you and your users submit to Pillar OS (“Customer Data”). You grant us a limited licence to host, process, and transmit Customer Data as needed to provide and improve the service and as described in our Privacy Policy.
You are responsible for your Customer Data, including its accuracy and legality and for having the necessary rights and consents to provide it — for example, consents relating to students, parents, and tutors. Where we process personal information within Customer Data, we do so as your service provider (see the Privacy Policy).
6. Acceptable use
You agree not to:
- use Pillar OS for any unlawful, harmful, or fraudulent purpose;
- upload content that infringes others’ rights or violates any law;
- attempt to gain unauthorized access to, disrupt, or compromise the service or its security;
- reverse engineer, copy, or create derivative works from the platform except as permitted by law;
- resell, sublicense, or provide the service to third parties except as expressly permitted; or
- use the service to send unlawful, unsolicited, or abusive communications.
7. Third-party integrations and services
Pillar OS integrates with third-party services, including GoHighLevel, Zoom, Microsoft Teams, and Google Meet. Those services are provided by their respective owners and are governed by their own terms and privacy policies. We do not control third-party services, are not responsible for them, and do not guarantee their availability. You are responsible for your own accounts and compliance with the terms of any third-party service you use with Pillar OS.
8. Intellectual property
Pillar OS, including its software, design, and trademarks, is owned by Kalbot Solutions and its licensors and is protected by intellectual-property laws. We grant you a limited, non-exclusive, non-transferable right to access and use the service during your subscription. If you give us feedback or suggestions, you grant us the right to use them without restriction or obligation.
9. Confidentiality
Each party may access confidential information of the other in connection with the service. Each party agrees to protect the other’s confidential information and to use it only as needed to exercise its rights and meet its obligations under these Terms.
10. Availability and changes to the service
We work to keep Pillar OS available and reliable, but we do not guarantee uninterrupted or error-free operation. We may perform maintenance, and we may modify, suspend, or discontinue features. Where a change is material, we will use reasonable efforts to provide notice.
11. Disclaimers
Except as expressly stated and to the fullest extent permitted by applicable law, Pillar OS and the website are provided “as is” and “as available,” without warranties of any kind, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. AI-generated outputs may contain errors and should be reviewed before you rely on them. Some jurisdictions, including Quebec, do not allow certain disclaimers, so some of these may not apply to you.
12. Limitation of liability
To the fullest extent permitted by applicable law, Kalbot Solutions will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, data, or goodwill. Our total liability arising out of or relating to the service will not exceed the amount you paid us for the service in the twelve months before the event giving rise to the claim. Nothing in these Terms limits liability that cannot be limited or excluded under applicable law.
13. Indemnification
You agree to indemnify and hold harmless Kalbot Solutions from claims, damages, and expenses (including reasonable legal fees) arising from your Customer Data, your use of the service, or your breach of these Terms or of applicable law.
14. Term and termination
These Terms apply while you use Pillar OS. You may stop using the service and cancel your subscription at any time. We may suspend or terminate your access if you breach these Terms, fail to pay, or use the service in a way that risks harm to others or to us. On termination, your right to use the service ends; for a reasonable period we will make Customer Data available for export unless legally prohibited, after which we may delete it.
15. Governing law
These Terms are governed by the laws of the Province of Quebec and the federal laws of Canada applicable there, without regard to conflict-of-laws rules. Subject to any mandatory rights you have under applicable law, you agree to the exclusive jurisdiction of the courts of the Province of Quebec, in the judicial district of Montreal.
16. Language
This document is provided in English and French. In the event of any inconsistency between the two versions, the English version prevails, except where applicable law requires otherwise.
17. Changes to these Terms
We may update these Terms from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of Pillar OS after an update means you accept the revised Terms.
