Notice who’s slipping away
Every active student who has gone four weeks without a session is flagged, oldest lapse first, next to the credits they have left.
- For each of them a warm check-in is drafted for you to read, change and send. Nothing goes out on its own.
- A family down to their last credit gets a nudge before the balance hits zero.
- Active students, sessions booked and the month’s revenue sit on one screen.
Nothing sends on its own Get paid without chasing
Invoices are built from the sessions that happened, and a family’s card saves itself the first time they pay.
- Payment reminders follow a ladder you set per location: before the due date, on it and after. None once the invoice is paid.
- An e-transfer or cash payment is recorded in a click, and the reminders stop for that family too.
- GST and QST are calculated on every invoice.
Tutor pay from the sessions taught
Each tutor’s pay is built from the sessions they actually taught: hours, rate and count on one line you read before it goes out.
- Pay rates live on the tutor, and a program section can carry its own.
- The payroll export and the T4A export come straight off the tutors page.
- Booked hours against published availability, per tutor. Below 55% is flagged.
Families book. Reminders go out.
Families book open times by subject, tutor and time in your portal, in English or French.
- Email and text reminders go out before every session without anyone at the desk sending them.
- Each location sets its own cancellation cutoff, and the portal applies it the same way every time.
- The calendar only offers the hours a tutor said they can teach.

Questions owners ask
Before they try it. If yours isn’t here, ask us on a 20-minute call.
5.0 on Google · Kalbot Solutions Book a 20-min demoDo I need a card to try it?
No. A trial runs 14 days with no card. Your workspace opens in a minute, you bring your roster and see your own numbers, not sample data.
What happens after the 14 days?
It is month to month, and you can cancel whenever. Your trial only becomes a subscription when you pay the first invoice.
How much does Pillar OS cost?
A flat monthly fee set by your active student count: from $35 a month for up to 50 students, rising along a line to $599 at 1,000 students (CAD). No per-tutor fee, no per-lesson fee, no percentage of your revenue. SMS, storage and AI usage are billed separately.
We run on Teachworks, TutorBird or a spreadsheet. How do we move?
Send us your export or your spreadsheets. We move students, families and tutors across and walk the result through with you before you go live. Past lessons and invoices stay in your old system’s export. You can also import a roster yourself from a CSV.
Does it work in French?
Yes. The whole product runs in English or French, for your team and for every family: the portal, invoices, reminders and reports. GST and QST are calculated on the invoice.
What about students’ data and Law 25?
Each centre’s data is isolated from every other centre’s, families see only their own students, and the consent a family gives for messages is recorded. Our privacy policy covers PIPEDA and Québec’s Law 25.
See it with your own students. Free for 14 days.
No card. We import your roster. From $35 a month after that, by number of students.
